Template notice. This page is a starting point drafted for a small insurance brokerage. It is not legal advice. Have a licensed attorney review it against your actual data practices and the rules in every state you are licensed in before you rely on it. Who we are
The Stewart Brokerage is an independent insurance brokerage licensed in Florida, Texas and Nevada. We help small businesses compare and enrol in group health coverage. You can reach us at petrina@thestewartbrokerage.com.
What we collect
We only ask for what we need to quote and service coverage.
- Information you give us. Name, business name, email address, phone number, state, employee count, industry, current coverage, renewal date, and anything else you type into a form or send us directly.
- Census information. If you move forward with a quote, we may collect employee ages, ZIP codes, dependent counts and similar details required by carriers to rate a group.
- Technical information. Pages viewed, referring site, approximate location from IP address, browser and device type. [REVIEW: list your analytics provider here, or delete this bullet if you run no analytics.]
We do not knowingly collect information from anyone under 18, and we do not ask for Social Security numbers, bank details or payment card numbers through this website.
How we use it
- To prepare quotes and present coverage options
- To submit applications to carriers you choose to apply with
- To service your policy — enrolment, changes, claims questions and renewals
- To respond when you contact us
- To send occasional updates about coverage or enrolment deadlines, which you can stop at any time
- To meet recordkeeping obligations that apply to licensed insurance producers
Who we share it with
We do not sell your personal information, and we do not sell or rent lead lists. We share information only in these situations:
- Insurance carriers and general agencies, when needed to obtain a quote or submit an application you have asked us to submit
- Service providers that operate our email, forms and website infrastructure, limited to what they need to perform that work
- When the law requires it — a subpoena, a regulator, or a state insurance department examination
How long we keep it
We retain client records for as long as we service the relationship and afterwards for the period required of licensed producers in the applicable state. [REVIEW: confirm the retention period required in FL, TX and NV and state it here.] Quote enquiries that do not become clients are kept for a shorter period and then deleted.
Your choices
- Access and correction. Email us and we will tell you what we hold about you and fix anything inaccurate.
- Deletion. Ask us to delete your information and we will, except where insurance recordkeeping rules require us to keep it.
- Marketing. Every marketing email has an unsubscribe link. Unsubscribing does not stop service messages about a policy you hold.
Texas and Nevada residents have specific statutory privacy rights, and Nevada residents may submit a verified request that we not sell covered information — which we do not do in any case. [REVIEW: confirm current state-law obligations with counsel.]
Health information
Some information handled during enrolment may be protected health information. Where HIPAA applies to a group health plan we assist with, we handle that information according to the plan's requirements and any business associate agreement in place. [REVIEW: have counsel confirm whether HIPAA business associate status applies to your arrangement.]
Security
We use reasonable administrative and technical safeguards to protect the information we hold. No method of transmission over the internet is completely secure, so please do not send sensitive personal information such as Social Security numbers by ordinary email.
Cookies
This website uses only the cookies needed to make pages work correctly. [REVIEW: if you add analytics or advertising pixels, describe them here and add a consent banner.]
Links to other sites
Carrier websites and other pages we link to have their own privacy policies. We are not responsible for how they handle your information.

If we change this policy we will update the date at the top of this page.
